Policies & Procedures for Tenants of Vora Technology Park

Building Entry and Exit

All Tenants are to enter the building through the main lobby.  Tenants are required to use their key cards each time they enter the building.  The front desk personnel will only unlock the doors for visitors and deliveries.

 

Please note that all other doors to the facility will sound an alarm to Security when opened.  In addition, you will not be able to re-enter through these doors.  Therefore, please only enter and exit through main lobby doors.

 

Hours of Front Desk Coverage

Monday through Friday:  7:00 a.m. – 10:30 p.m.

Saturday:  7:00 a.m. – 12:00 noon

Please advise any visitors you may have of these times.

 

 

Visitors

All visitors to the building will be required to sign in/out at the front desk where they will be issued a name tag that must be worn while in the building.  When arranging appointments, please inform your visitors of this policy.  Family members of tenants are required to sign in and receive a visitor’s badge even when they are escorted by the spouse/parent/etc.

 

Security of our tenants and the building are of utmost importance to VTP.  Therefore, tenants should not open the door for any visitors or allow any visitors to enter through the doors as they enter or exit.

 

Key Cards

VTP considers safety a priority.  Whether it is the safety of people, equipment, or the highly sensitive, critical, and confidential data that is on campus, we take every effort to safeguard the facility.  Security, however, is a group effort for all of us at VTP.  Scanning one’s key card when entering the building provides Security with a record of who is in the building at any given time and we appreciate the cooperation of all tenants and personnel.

 

Please report missing key cards or problems with building access to VTP Management immediately.  If a keycard has been lost, VTP will deactivate the card until it is found or reissued.

 

All companies should inform VTP of any personnel who has left your employment or has transferred to another location so that the key card can be deactivated.

 

Emergency Procedures

To Report a Fire

If you see smoke or fire anywhere in the building, immediately:

 

·         Go to the fire pull station closest to you. Fire pull stations are red square boxes mounted on the wall by all exit doors and stairwells.

·         Pull the handle down to sound the alarm.

·         If the alarm does not sound within a few seconds, call 895-8000 to report the fire.

·         Exit the building immediately.

 

 

Fire Alarm - When an Alarm Sounds

In the event of a fire, an alarm will sound.  You are to immediately evacuate the building through the nearest exit.  Do not call anyone to verify the alarm.  Your personal safety is first and foremost. Walk quickly, but do not run.  Do not stop to collect personal belongings. Do not use elevators or escalators. As with any public building, be familiar with the closest exit from your office or from your daily route through the hallways.  Exits are clearly marked above each safe exit door.  Assist visitors during any emergency situation.  Make sure no visitors are left in your area. It is recommended that each tenant establish a company plan of action complete with attendance sheets and meeting points outside the building.  Remain outside of the building – away from entrances and fire lanes – until you are given an “All Clear” by the fire department or facility management that it is safe to re-enter the building. 

 

Tornado Alert

A tornado WARNING means a tornado has been sighted in our area.  You will be notified over the Public Address (PA) system that a tornado emergency exists, and that you should move immediately to a tornado safe area. Tenants in the southern-most section of the building (e.g., Amstan) should proceed to the southwest lower level (under the dining room).  Tenants in the north, east, and west wings (incubator, BTOL, Cinti Bell) should proceed to the ground floor hallway and ground floor interior area.

 

For your protection, we strongly suggest that you do not leave the building until the tornado emergency is over.  However, you are permitted to leave at any time at your own risk, but you should notify your supervisor before exiting the building.  Personnel will be notified over the Public Address system when the threat no longer exists.

 

911

Any emergency calls to 911 must be reported to the front desk immediately in order to expedite the emergency responders to your location.  VTP staff will direct emergency workers to the closest access point.

 

In addition, VTP has on staff Emergency First Responders who can provide assistance.  Call the front desk at 895-8000 when needed.

 

Common Areas

  • VTP asks that each person return all common areas of VTP utilized to the condition in which they were found.
  • Any meeting, conference, function or activity to take place within any common area (inside or outside) needs to be coordinated through VTP management.
  • Tenants are expected to stay within common areas, designated areas, or their own space.  Access to unoccupied areas of the building or non-office space areas is not permitted to tenants.

Conference Facilities

Conference rooms and video conferencing are available to tenants on a reserved basis.  Contact the VTP Event Manager at 867-7260 to make appropriate arrangements.  Fees may apply.

 

Deliveries

Deliveries for 101 Knightsbridge Drive should be directed to the loading docks on the east side of the building.  Tenants are responsible for meeting the delivery personnel at the dock, escorting them during their deliveries, and ensuring the dock is secured upon their departure.  A sign at the dock doors directs the drivers to call the front desk.  The front desk personnel will then call the respective tenant to inform them about the delivery.  Carts/dollies are the responsibility of each tenant.

  

Dress Code

VTP is a professional work environment.  As such, professional dress is requested by all tenants occupying the facility.  As different workplaces dictate different standards of dress, VTP will allow the management of each lease to establish and enforce their own dress code policy for their employees.  We ask you to consider that unprofessional attire may reflect poorly on your fellow tenant’s business.  Shirts, pants and shoes are required at all times.  VTP recognizes that there may be occasional “casual” work days and will allow for such, but these should be kept to a minimum so as to maintain the professional work environment of the facility.

 

Inclement Weather

Our goal at VTP is to provide a safe and secure complex; not only within the building but also the parkings lots.  During inclement weather, we will make every effort to remove snow and ice in a timely manner.  If there are areas that need immediate attention, please contact the Front Desk at 895-8000 and they will be addressed.  During snow falls, we request that all tenants park in the main/east parking lots and that the west/visitor's parking lot be used for deliveries only.  The stated emergency level of the Butler County Engineer's Office (BCEO) will dictate any closing that may occur.  Please refer to www.bceo.org for snow emergency definitions.

 

Maintenance Requests

Please direct all tenant facility requests, needs, or repairs to the front desk at 895-8000.

 

No Smoking Policy

VTP is a non-smoking facility.  Smoking is permitted outside at designated smoking areas only.  VTP will enforce the new Ohio State Smoking Laws.  Please help keep our campus clean and dispose of cigarette butts properly.  Tenants are required to scan key cards to regain entry to the building.

 

Noise

Please remember that this is a multi-tenant building and be respectful of those around you.  Loud noises, music or any other sounds that may be heard outside of your immediate work area should be avoided. 

 

Offices / Workstations

  • Space heaters of any sort are prohibited in the building due to fire hazard and potential of circuit overloads.
  • Food or candy should not be kept at a workstation (unless in a sealed container) due to the potential for attraction of rodents, insects, etc.
  • Please do not place any can/bottle/cup with any liquid remaining inside into waste receptacles.  Please pour all liquids into a sink prior to properly disposing of container.
  • Cooking is absolutely prohibited.
  • Please turn off or unplug any coffee makers after use or at end of work day.

Parking

Parking spaces are available on a first come, first use basis unless otherwise posted as handicapped or reserved.  No parking is allowed in reserved spots at any time.  Reserved spaces can be rented by any tenant on a space available basis.  See VTP Management to reserve a space.  Parking for visitors is located in the North West parking lot and is for visitors, handicapped and deliveries only.  Campus maps are available upon request.

 

Parking Lot

  • Speed is limited to no more than 10 mph in parking lots or on VTP drives.
  • No reckless driving allowed.
  • No littering allowed.

Pond

Absolutely no wading, swimming, fishing, ice skating or rock skipping allowed in/on pond.

 

Property of VTP

No VTP material, article, property and/or equipment are to be taken from the VTP property without authorization from VTP management.

  

Safety

VTP considers the safety of tenants, employees, the public, and its operations to be of paramount importance.  Accordingly, it is the policy of VTP to provide and maintain safe and healthy working conditions and to comply with applicable safety laws and ordinances.  VTP tenants and employees are expected to comply with the safety policies and practices and make suggestions that might help prevent accidents.

 

 

Solicitation

Solicitation on VTP property is prohibited.  Distribution of literature in any common area of this facility is prohibited at all times. 

 

At the request of our tenants, there is a no solicitation policy that applies to walk-in or phoned-in sales requests.

 

Substance Abuse Policy

To promote a safe workplace and a healthy and productive work environment, VTP strictly prohibits unlawful possessing, using, buying, selling, manufacturing, distributing, dispensing or transferring controlled substances on VTP property.

 

Vending Machines

Vending Machines (soda & snack) are located just inside the West Wing (entrance to Butler Tech On-Line).  Please report any problems with the machines to the front desk.

 

There is also a Coca Cola machine located just off the atrium, inside the entrance to the serving area of the kitchen.  This machine is not serviced by VTP.

 

Walking Trails

Walking trails surround the facility and are there for your use and enjoyment; however, use is at your own risk.  VTP assumes no responsibility for damage and/or injury while on walking trails.  Please do not litter on VTP property.

 

Weapons

VTP prohibits all persons who enter VTP property from carrying a handgun, firearm, or prohibited weapon of any kind onto the property regardless of whether the person is licensed to carry the weapon or not.  The only exceptions to this policy will be police officers, security guards or other persons who have been given written consent by VTP to carry a weapon on the property.
